To begin your virtual notary appointment, email your unsigned documents to notary@canadanotary.ca. This allows us to review your paperwork and prepare it for the signing process.
In the same email, include a clear selfie of yourself holding a valid government-issued photo ID. This step is essential for verifying your identity. You should also include any specific instructions for the notary, let us know your availability for the appointment, and provide your mailing address if you would like to receive a physical copy of your notarized documents.
Please send a $35 e-transfer to notary@canadanotary.ca to confirm your appointment. If you require multiple notarizations or additional services, the notary will inform you of any extra charges before proceeding.
You will be sent a link to sign your documents electronically using HelloSign. Once completed, a notarized PDF version will be emailed to you with an audit trail and secure timestamp. If a hard copy was requested, it will be mailed to the address you provided.
If you choose to connect with a notary through a video call, our process remains secure, professional, and fully compliant with Canadian regulations. To help you prepare, here are the basic technical and procedural requirements for a successful virtual notary session:
Make sure you have a reliable internet connection that supports video and audio. This allows the notary to see and hear you clearly during the session.
You can use a smartphone, tablet, or computer that has a working webcam and microphone for the video call.
The notary will authenticate your identity during the call by reviewing your valid photo ID and confirming your details.
Once your identity is verified and your documents are reviewed, you’ll electronically sign them using a secure digital platform. The notary will then validate and finalize the documents.
In Ontario, remote commissioning—the process of administering oaths and affirmations via video conferencing—is permitted under the Commissioners for Taking Affidavits Act, provided specific conditions are met.
However, online notarization (i.e., a notary public notarizing documents without being in the physical presence of the signer) is not currently authorized under the Notaries Act.
While many institutions accept digitally commissioned documents, acceptance policies vary. It’s advisable to confirm with the receiving organization whether they accept electronically commissioned documents.
No. Remote commissioning allows you to swear or affirm documents over video, but it is not the same as notarization. Under Ontario’s Notaries Act, true online notarization is not currently permitted—a notary must witness your signature in person for it to be valid.
Sometimes. Many documents only require commissioning, which can be done remotely. If your document asks for a “commissioner” or “commissioner for oaths,” remote signing may be acceptable. If it requires a notary public, in-person signing is usually mandatory.
In many cases, yes. IRCC (Immigration, Refugees and Citizenship Canada) and other institutions often accept digitally commissioned documents. However, you should always check with the receiving institution before proceeding.
Because the law still requires certain documents to be signed in person. We’d love to make everything easy and online, but we also have a duty to follow provincial legislation, especially when it comes to fraud prevention and identity verification.
